Experienced Administrative Assistant

Key Responsibilities

  • Collaborate with the international shipping team to coordinate LTL and container orders
  • Maintain and update Excel spreadsheets to ensure accurate tracking and reporting
  • Operate multi\-line phone systems, manage incoming calls with professional phone etiquette, and efficiently route inquiries
  • Maintain organized filing systems and perform accurate data entry using digital tools such as Microsoft Office
  • Support office management functions, including calendar coordination and scheduling
  • Assist with bookkeeping tasks, including invoicing and expense tracking
  • Provide responsive and courteous customer support via phone and email
  • Proofread documents to ensure clarity, accuracy, and professionalism in all communications
  • Perform general clerical duties such as copying, scanning, and managing office supplies to maintain an efficient workspace
  • Qualifications

  • Proven experience in an administrative or clerical role within a professional office environment
  • Strong computer proficiency, including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and accurate data entry skills
  • Excellent organizational skills with the ability to prioritize and manage multiple tasks in a fast\-paced setting
  • Demonstrated customer service skills with a polished and professional phone manner
  • Personal assistant or receptionist experience considered advantageous
  • Exceptional proofreading skills with strong attention to detail
  • Strong time management skills and the ability to handle multiple responsibilities efficiently
