Compensation ranges from $20\.00 to $28\.00 per hour, depending on experience. Role Summary
As an Order \& Inventory Operations Specialist, you will serve as the essential connection between our customers and operations teams. You will manage the entire order lifecycle, from receiving initial orders to ensure successful delivery. Your responsibilities will also include maintaining optimal inventory levels for key components, supporting efficient order builds and fulfillment. Precision, organization, and attention to detail are vital, as these qualities directly impact on customer satisfaction and overall operational efficiency.
Key ResponsibilitiesOrder Management \& Processing
· Receive and manage incoming orders through various channels, including email, phone, and electronic portals.
· Accurately enter and maintain customer information, product details, inventory, costs, and pricing in the ERP/CRM system.
· Review orders to ensure accuracy and completeness, identifying and resolving any discrepancies before they become issues.
· Efficiently process return authorizations and coordinate with vendors to ensure smooth completion.
Inventory Management \& Component Stocking
· Monitor, maintain, and order inventory to maintain essential components needed for order fulfillment.
· Identify low\-stock situations and initiate restocking procedures to prevent fulfillment delays.
· Verify product availability in real time and proactively address potential shortages.
· Track component usage patterns to support accurate forecasting and inventory planning.
Operations Coordination \& Fulfillment
· Coordinate between order intake and operations teams to ensure timely fulfillment.
· Prioritize and schedule order builds based on customer timelines and component availability.
· Collaborate with warehouse and production teams to expedite urgent orders and resolve bottlenecks.
· Monitor order progress from entry through shipment, ensuring delivery commitments are met.
Customer Support \& Communication
· Serve as a responsive point of contact for inquiries regarding order status, delivery timelines, and pricing.
· Proactively communicate with customers about inventory availability, back orders, or potential delays.
· Resolve minor customer concerns quickly and professionally.
Documentation \& Reporting
· Generate essential documents, including order confirmations, invoices, packing slips, and shipping labels.
· Compile order metrics, inventory insights, and fulfillment performance data for management reporting.
· Maintain accurate records of component stock levels and order fulfillment timelines.
Required Qualifications
· High school diploma or equivalent.
· Experience in data entry, order processing, inventory management, or customer service roles.
· Proficiency with the Microsoft Office Suite, especially Excel and Word.
· Strong numeric keypad skills and high typing accuracy.
Preferred Qualifications
· Experience with order management, inventory control, or ERP systems (such as Odoo, AS400, Salesforce, Oracle, or comparable platforms).
· Excellent multitasking abilities and comfort working in dynamic, fast\-paced environments.
· Strong organizational skills and natural problem\-solving abilities.
· Understanding of supply chain coordination and fulfillment operations.
