We are seeking a Customer Success & Administrative Assistant to join our fast growing team. You must have prior customer service experience and e-commerce fulfillment experience. You must be passionate about customer satisfaction, organization, and self-sufficiency.
You will be expected to communicate with customers via email and phone, manage our loyalty and referral programs, handle chargebacks and disputes, and data entry. You will also engage in some post-sale customer service which entails tracking packages, investigating lost or stolen packages, and just overall resolving shipping, receiving, or customer service issues.

Requirements:
* MUST BE 18+
- Chosen candidates must be able to pass the Homeland Security's E-Verify for authorization to work in the U.S.
- Fluent in English & Spanish is a must including both written and verbal
- Have excellent communication skills and be able to follow instructions
- Problem solver who can take initiative and own responsibilities.

- Organized, detail-oriented, and able to manage multiple systems.
- Computer Savvy, comfortable using several online shipping softwares like Woocommerce, Shippo, Shopify, UPS, Shipstation, MS Office (Word, Excel, Outlook), Whatsapp, Slack
- Must have reliable transportation to get to the warehouse.
- High School Diploma or equivalent minimum
- Respond to customer emails across multiple platforms (Shopify & WooCommerce) via email and phone call.
- Order Troubleshooting: replacements, damaged/missing shipments, address changes, cancellations, etc.
- Fulfillment: Coordinate shipping labels through ShipStation, WooCommerce, and Shopify.
- Manage loyalty programs, adjust points, reward redemptions and audits.
- Monitor and product reviews and internal feedback. Rectify bad reviews by meeting customers' needs.
- Use an internal fraud system to manage flagged or on-hold orders.
- Process refunds or request verification for failed or suspicious orders.
- Submit chargeback disputes to banks and gather documentation (e.g., proof of delivery).
- Track and report monthly customer support issues in Excel (e.g., loss prevention, shipping errors) and provide weekly reports to management.
- Pull inventory reports and assist with fulfillment logistics and reordering.
- Maintain spreadsheets of summaries using internal templates
- Support affiliate programs by auditing invoices, verifying referral sales, and handling corrections.
- Tally up defective items, and coordinate with Vendors for replacements or credits.
- Update websites with pricing, product data, and promotions
- Monitor product expiration dates and assist with limited-time sales to reduce spoilage.
- 2+ years in customer support or administrative operations (e-commerce preferred).
- Product knowledge related to Hemp, CBD, Kratom, THC & Mushroom product required
- Strong written and verbal communication skills in both English and Spanish
- Proficient with Excel/Google Sheets (basic reporting & organization).
- Familiarity with Shopify, WooCommerce, ShipStation, or similar platforms.

Job description
The Customer Success & Administrative Assistant will handle day-to-day customer interactions, fulfillment, loss-prevention, and administrative tasks. This is a hybrid role combining customer service, administrative assistant, with some data entry and reporting tasks. You’ll play a key role in increasing customer retention, process optimization and senior management support.
