The Admin Officer / Executive Assistant provides high\-level administrative and organizational support to the Executive overseeing Australia Operations. This role ensures the smooth coordination of schedules, communications, documentation, and operational tasks.

The position requires excellent organizational skills, attention to detail, and the ability to manage multiple priorities efficiently while maintaining confidentiality and professionalism.

Key Responsibilities

I. Executive Support

  • Provide direct administrative and executive assistance to the Executive.
  • Manage and coordinate calendars, meetings, and appointments.
  • Prepare reports, presentations, and business documents as required.
  • Handle correspondence, emails, and internal/external communications on behalf of the Executive.
  • II. Administrative Management

  • Organize and maintain files, records, and operational documents.
  • Assist in preparing operational reports and documentation for Australia operations.
  • Monitor deadlines, schedules, and deliverables to ensure timely completion of tasks.
  • Coordinate with internal departments and external partners when necessary.
  • III. Coordination and Communication

  • Schedule meetings, prepare meeting agendas, and document minutes.
  • Facilitate communication between the Executive and internal teams.
  • Assist with travel arrangements, logistics, and administrative planning.
  • IV. Operational Support

  • Support daily operational coordination for the Australia team.
  • Track tasks, projects, and follow\-ups assigned by the Executive.
  • Assist in organizing administrative processes and workflow improvements.
  • Qualifications

  • Bachelor’s Degree in Business Administration, Management, or related field.
  • * Previous experience as an Executive Assistant, Administrative Officer, or similar role is highly preferred.

  • Experience supporting senior leadership or executives is an advantage.
  • Skills and Competencies

  • Strong attention to detail and accuracy
  • Ability to manage multiple priorities and deadlines
  • Professional communication skills (written and verbal)
  • High level of discretion and confidentiality
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and administrative systems

    Pay: From $25,000\.00 per month
