Duties
- Manage front desk responsibilities, greeting visitors and directing them appropriately with professionalism and warmth
- Operate multi\-line phone systems efficiently, handling inquiries and routing calls accurately
- Maintain organized filing systems, both digital and physical, ensuring easy retrieval of documents
- Perform data entry tasks using Microsoft Office, Google Workspace, and other office software with precision and speed
- Schedule appointments, manage calendars, and coordinate meetings for staff and executives
- Provide customer support by addressing inquiries promptly via phone or email, demonstrating excellent phone etiquette and communication skills
- Assist with bookkeeping tasks using QuickBooks or similar accounting software to track expenses and invoices
- Support office management activities such as supply ordering, inventory tracking, and maintaining a tidy workspace
- Proofread correspondence and documents for accuracy before distribution
- Handle clerical duties including photocopying, faxing, mailing, and document preparation with efficiency
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
- Excellent organizational skills with the ability to multitask effectively in a fast\-paced environment
- Bilingual abilities are highly desirable to assist diverse client needs
- Demonstrated experience in office management or administrative roles with a focus on clerical tasks
- Exceptional customer service skills coupled with professional phone etiquette and active listening abilities
- Adept at data entry, filing systems, and maintaining accurate records with high attention to detail
- Familiarity with QuickBooks for bookkeeping purposes is preferred
- Strong time management skills to prioritize tasks efficiently throughout the day
- Proven ability to proofread documents carefully for grammar, spelling, and formatting errors
- Experience as a medical or dental receptionist is a plus but not required; relevant personal assistant experience is also valued
