- Manage day\-to\-day bookkeeping tasks including journal entries, expense categorization, and general ledger maintenance
- Perform bank reconciliations and credit card reconciliations to ensure accuracy of financial data
- Maintain organized financial records for two companies
- Oversee accounts payable and assist with tracking accounts receivable
- Track recurring expenses, subscriptions, and operational costs
- Assist with preparing financial reports and documentation for CPA review
- Maintain detailed records of financial transactions including debits, credits, and supporting documentation
- Coordinate payroll processing and maintain payroll records
- Track employee hours and payroll reporting
- Manage contractor payments and W9 documentation
- Assist with payroll tax documentation and reporting coordination with CPA
- Source vendors and obtain quotes for services and operational supplies
- Assist with managing insurance policies and renewals
- Coordinate vehicle registrations and related administrative renewals
- Assist with inventory purchasing and operational supply management
- Occasional Costco or local supply pickups for operational needs
- Coordinate deliveries and purchasing for the retreat
- Assist with employee onboarding documentation
- Maintain organized employee and contractor records
- Support hiring logistics (job postings, scheduling interviews, documentation)
- Help maintain HR compliance files and internal documentation
- Maintain organized records of financial transactions and supporting documentation
- Assist with budgeting preparation and financial tracking
- Help prepare financial summaries or reports when requested
- Support internal financial reviews by organizing documentation and reports
- 3\+ years bookkeeping or accounting support experience preferred
- Strong understanding of bookkeeping principles including debits, credits, journal entries, and reconciliations
- Experience with bank reconciliation and general ledger maintenance
- Proficiency in accounting software such as QuickBooks
- Strong attention to detail and accuracy with financial records
- Ability to manage multiple accounts and responsibilities across two businesses
- Strong organizational and time management skills
- Excellent communication skills and ability to collaborate across teams
- Experience working with small business accounting systems
- Familiarity with GAAP accounting principles
- Experience supporting multiple entities or accounts
- Comfortable assisting with operational and administrative financial tasks
- Remote bookkeeping and financial organization tasks
- Occasional in\-person work at the Scottsdale home office
- Occasional local errands or operational support tasks
