Position Summary
The Administrative Assistant for the Global Engagement Office provides high\-level administrative, logistical, and operational support to advance the school’s global partnerships, programs, and initiatives. This role serves as a central coordination point for faculty, staff, students, and international partners, ensuring smooth operations across global activities, travel, events, and communications. The ideal candidate is highly organized, detail\-oriented, culturally responsive, and comfortable working in a fast\-paced, globally connected academic environment.
Key Responsibilities
Administrative \& Operational Support
- Provide comprehensive administrative support to the Global Engagement Office leadership and staff, including calendar management, scheduling meetings across time zones, and preparing agendas and materials.
- Manage office workflows, track deadlines, maintain records, and support compliance with university and funding requirements.
- Serve as a first point of contact for internal and external stakeholders, including international partners, visiting scholars, and campus units.
- Coordinate logistics for international travel, delegations, and visiting scholars, including itineraries, visas, invitations, reimbursements, and travel documentation in accordance with university policies.
- Support global immersion programs, international exchanges, and partnership activities by tracking participation, timelines, and deliverables.
- Assist with onboarding and hosting international visitors, including scheduling, space reservations, and event logistics.
- Support planning and execution of global events such as lectures, workshops, symposia, and partnership meetings (virtual and in\-person).
- Prepare and distribute communications, including emails, agendas, related to global initiatives.
- Maintain organized digital filing systems for global agreements, MOUs, awards, and program documentation. Financial Support
- Assist with routine financial processes such as tracking expenditures, processing invoices, reimbursements, and purchase requests related to global activities.
- Maintain databases and spreadsheets related to global partnerships, awards, faculty engagement, student participation, and events.
- Assist with compiling information for annual reports, impact summaries, and internal or external reporting.
- Experience in higher education, international programs, or a research environment.
- Strong organizational skills with the ability to manage multiple priorities simultaneously.
- Excellent written and verbal communication skills.
- Proficiency with collaborative platforms (e.g., SharePoint Outlook, Word, Excel, and TEAMS ).
- Demonstrated ability to work effectively with diverse individuals across cultures and time zones.

This posting is for an Administrative Support Specialist temporary position. This position may be eligible for a hybrid work arrangement that may include a partially remote work location, consistent with System Office policy. UNC Chapel Hill employees are generally required to reside within a reasonable commuting distance of their assigned duty station. The Administrative Support Specialist will complete administrative tasks for the Global Engagement Office with the School of Social Work. This position will administratively support the Associate Dean of Global Engagement, Assistant Director of Global Engagement, and other key team members. Responsibilities include following program policies and procedures and using software and systems, manage communication, prepare, file, and maintaining records and documents, ordering supplies and overseeing the office and operational needs, inputting data accurately to maintain databases and spreadsheets, supporting travel logistics, scheduling needs of the Global Engagement Office to include coordination across the School of Social Work and across institutions, and completing financial processing. In addition, the Administrative Support Specialist may help with event planning by serving as the point persons for planning, logistics, and implementation of all Global Engagement Office events.
Minimum Education and Experience Requirements
High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.
