Responsibilities

  • Manage front desk operations, greeting visitors and clients with professionalism and warmth
  • Answer multi\-line phone systems promptly, directing calls accurately and courteously
  • Maintain organized filing systems, data entry, and document proofreading to ensure accuracy
  • Coordinate calendar management, scheduling appointments, meetings, and reminders efficiently
  • Handle correspondence via email, phone, and mail, ensuring timely responses and follow\-up
  • Support bookkeeping tasks using QuickBooks or similar accounting software to track expenses and invoices
  • Assist with office supply inventory management and procurement to keep the workspace well\-stocked
  • Provide exceptional customer service by addressing inquiries and supporting client needs
  • Perform clerical duties such as photocopying, scanning, and maintaining office equipment functionality
  • Support team members with personal assistant tasks or special projects as needed
  • Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Sage and Google Workspace tools
  • Strong organizational skills with excellent time management abilities
  • Effective phone etiquette skills; experience with multi\-line phone systems preferred
  • Bilingual abilities are a plus to serve diverse clients and team members effectively
  • Proven office management experience with familiarity in clerical tasks such as filing and data entry
  • Knowledge of QuickBooks or similar bookkeeping software is advantageous
  • Exceptional attention to detail for proofreading documents and maintaining accurate records
  • Ability to prioritize tasks efficiently in a fast\-paced environment
  • Excellent interpersonal skills for customer service and team collaboration
  • Computer literacy including typing speed and familiarity with office technology systems
