Responsibilities
- Manage front desk operations, greeting visitors and clients with professionalism and warmth
- Answer multi\-line phone systems promptly, directing calls accurately and courteously
- Maintain organized filing systems, data entry, and document proofreading to ensure accuracy
- Coordinate calendar management, scheduling appointments, meetings, and reminders efficiently
- Handle correspondence via email, phone, and mail, ensuring timely responses and follow\-up
- Support bookkeeping tasks using QuickBooks or similar accounting software to track expenses and invoices
- Assist with office supply inventory management and procurement to keep the workspace well\-stocked
- Provide exceptional customer service by addressing inquiries and supporting client needs
- Perform clerical duties such as photocopying, scanning, and maintaining office equipment functionality
- Support team members with personal assistant tasks or special projects as needed
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Sage and Google Workspace tools
- Strong organizational skills with excellent time management abilities
- Effective phone etiquette skills; experience with multi\-line phone systems preferred
- Bilingual abilities are a plus to serve diverse clients and team members effectively
- Proven office management experience with familiarity in clerical tasks such as filing and data entry
- Knowledge of QuickBooks or similar bookkeeping software is advantageous
- Exceptional attention to detail for proofreading documents and maintaining accurate records
- Ability to prioritize tasks efficiently in a fast\-paced environment
- Excellent interpersonal skills for customer service and team collaboration
- Computer literacy including typing speed and familiarity with office technology systems
