POSITION SUMMARY
The Billing Specialist plays a key role in the firm’s accounting and financial operations, ensuring timely, accurate, and compliant client billing. This position requires exceptional attention to detail, strong communication skills, and an understanding of complex billing systems and client requirements. The Billing Specialist will partner closely with attorneys, assistants, and finance colleagues to deliver efficient, client\-centered billing support.
POSITION RESPONSIBILITIES
Billing \& Invoicing
· Prepare, review, and distribute monthly prebills to appropriate billing attorneys.
· Create and finalize client invoices in accordance with firm and client billing guidelines.
· Process and release manual bills or generate electronic bills through approved e\-billing platforms.
· Obtain billing exemptions when appropriate and ensure adherence to firm billing policies and procedures.
· Validate and maintain accurate e\-billing setups, resolving submission or format errors promptly.
Financial Adjustments \& Reconciliations
· Process write\-downs, retainer applications, premium allocations, and transfers of time or disbursements with appropriate approvals.
· Research and reconcile discrepancies related to time entries, billing adjustments, or client requests.
· Run reports to identify new timekeepers working on e\-billed clients and submit timekeepers and rate information to clients, as necessary.
· Assist with new matter openings for E\-Billing clients.
· Review outside counsel guidelines and establish need for client matter setup to use tasks/activities, cost constraints set\-up, mapping parent relationships and the use of approved timekeepers.
· Compile, disseminate and be well versed on client billing guidelines and institutionalized discounts. Educate partners’ and secretaries to various firm rate nomenclatures and client policies.
· Review client accounts receivable, aged work\-in\-progress (WIP), and unapplied cash to support revenue goals and improve cash flow.
Client \& Attorney Support
· Respond promptly to attorney, paralegal, and client billing inquiries.
· Coordinate with the Conflicts and Client Pricing Departments to ensure accurate client/matter setup, billing rates, and fee arrangements.
· Assist attorneys with billing accruals and budget reports as requested.
· Communicate directly with clients to resolve billing issues affecting payment or compliance.
Reporting \& Analysis
· Prepare monthly billing and collection reports for management and attorneys.
· Track and report trends in billing cycle timing, client payment patterns, and write\-downs.
· Support periodic audits and provide documentation for client or firm reporting requirements, including diversity and client\-specific surveys.
Process Improvement \& Collaboration
· Identify and recommend improvements to billing processes, documentation, and internal controls.
· Maintain client billing formats and templates to reflect current client and attorney needs.
· Ensure compliance with firm policies and retention procedures.
· Serve as back\-up for other billing team members and assist with special projects as assigned.
REPORTING RELATIONSHIPS
The Billing Specialist reports directly to the Controller and works closely with firm administrative and attorney teams. This role does not have any direct reports.
QUALIFICATIONS
Required
· Bachelor’s degree with at least 2 years of accounting or finance experience, or
· High school diploma/GED with 5\+ years of accounting or finance experience.
· Proficiency with MS Excel, MS Word, and related billing software.
· Experience managing complex client billing and understanding legal billing cycles.
· Ability to meet deadlines, handle multiple projects, and maintain accuracy under pressure.
· Must reside within a commutable distance to the San Francisco office.
Preferred
· Experience with Surepoint LMS or comparable billing interfaces.
· Prior law firm or professional services billing experience.
· Familiarity with e\-billing vendor platforms and client\-specific billing portals.
· Demonstrated ability to analyze billing trends and provide actionable insights.

PHYSICAL DEMANDS \& WORK ENVIRONMENT
This position operates in a professional office environment with a hybrid schedule. The role routinely uses standard office equipment such as computers, phones, copiers, and filing systems. The employee is required to sit or stand for extended periods, engage in regular communication with team members, and occasionally lift files or materials up to twenty pounds. Some overtime may be required during monthly or year\-end billing cycles.
