POSITION SUMMARY

Geneva Truck \& Equipment, Inc. is seeking a reliable and detail\-oriented Payroll Specialist to manage all aspects of payroll processing for our team on a fully remote basis. This position is responsible for ensuring timely and accurate payroll delivery, maintaining payroll records, administering employee deductions, and keeping the company in full compliance with federal, Pennsylvania state, and local payroll tax requirements.

The ideal candidate has experience processing payroll for a small\-to\-mid\-sized business that includes a mix of salaried, hourly, and commission\-based employees — such as sales staff, lot technicians, and administrative personnel — and is comfortable working independently with minimal supervision.

KEY RESPONSIBILITIES

Payroll Processing

\- Process bi\-weekly or semi\-monthly payroll for all full\-time, part\-time, hourly, and commission\-based employees accurately and on time.

\- Calculate and apply regular wages, overtime, commissions, bonuses, and any deductions or garnishments.

\- Review and verify timesheets and hours worked for hourly and field\-based staff prior to each payroll run.

\- Process off\-cycle payroll adjustments, corrections, and termination pay as needed.

\- Distribute pay stubs and direct deposit notifications to employees in a timely manner.

Commission \& Variable Pay Administration

\- Calculate and process commission payments for sales staff in accordance with established compensation agreements.

\- Maintain accurate records of sales performance data used for commission calculations.

\- Coordinate with sales management to verify commission amounts prior to each payroll run.

\- Resolve discrepancies in commission calculations promptly and professionally.

Payroll Tax \& Compliance

\- Calculate, withhold, and remit federal, Pennsylvania state, and local payroll taxes accurately and on schedule.

\- Prepare and file quarterly and annual payroll tax returns including Form 941, Pennsylvania UC\-2, and W\-2s.

\- Stay current on changes to federal and Pennsylvania payroll tax laws, minimum wage requirements, and FLSA overtime regulations.

\- Manage year\-end payroll processes including W\-2 preparation, distribution, and filing with the IRS and Pennsylvania Department of Revenue.

\- Ensure compliance with Pennsylvania local earned income tax (EIT) requirements applicable to Crawford County and surrounding jurisdictions.

Benefits \& Deductions Administration

\- Administer and reconcile employee benefit deductions including health insurance, retirement contributions, and other voluntary deductions.

\- Coordinate with benefits providers to ensure accuracy of deductions and timely remittance.

\- Process garnishments, child support orders, and other court\-mandated deductions in compliance with applicable law.

Recordkeeping \& Reporting

\- Maintain accurate, organized, and confidential payroll records for all current and former employees.

\- Generate payroll reports for management including labor cost summaries, overtime tracking, and commission expense breakdowns.

\- Support the bookkeeper or external CPA with payroll data required for financial statements and tax preparation.

\- Respond to employee inquiries regarding pay, deductions, and tax withholding professionally and in a timely manner.

QUALIFICATIONS

Required:

\- Minimum of 2\-3 years of payroll processing experience, preferably in a small\-to\-mid\-sized business environment.

\- Proficiency with payroll software such as QuickBooks Payroll, Gusto, ADP, or Paychex.

\- Solid understanding of federal payroll tax requirements and Pennsylvania state payroll regulations.

\- Experience processing payroll for a mix of hourly, salaried, and commission\-based employees.

\- Strong attention to detail with a proven track record of accurate, on\-time payroll delivery.

\- Ability to handle sensitive employee and financial information with absolute discretion.

\- Strong organizational skills and ability to meet recurring payroll deadlines independently in a remote setting.

\- Reliable internet connection and a secure, dedicated home workspace.

Preferred:

\- Experience in the trucking, automotive, heavy equipment, or commercial vehicle industry.

\- Familiarity with Pennsylvania local earned income tax (EIT) requirements and Crawford County tax jurisdictions.

\- Experience calculating and processing sales commission payroll for dealership or equipment sales staff.

\- Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) designation is a plus.

\- Working knowledge of basic bookkeeping and general ledger payroll journal entries.

\- Experience supporting a privately owned dealership or equipment company with a lean administrative team.

COMPENSATION \& WORK ARRANGEMENT

\- Competitive hourly rate or salary commensurate with experience.

\- Fully remote position; full\-time or part\-time hours available depending on candidate fit and business needs.
