We are seeking a dynamic and highly organized Office Administrator to join our team! Responsibilities
- Serve as the front desk ambassador, greeting visitors, managing multi\-line phone systems, and directing calls with professionalism and courtesy
- Maintain organized filing systems, handle data entry tasks, and ensure accurate record\-keeping using tools like Microsoft Office, Google Workspace, and QuickBooks
- Manage calendar appointments, schedule meetings, and coordinate office events to optimize time management for staff and executives
- Oversee office supplies inventory, place orders as needed, and ensure the office environment remains tidy and well\-stocked
- Provide exceptional customer support by addressing inquiries promptly via phone or email, demonstrating excellent phone etiquette and customer service skills
- Assist with clerical duties such as proofreading documents, preparing reports, and performing light bookkeeping or basic financial tasks
- Support office management functions including organizing files, handling incoming correspondence, and ensuring compliance with company policies
- Proven experience in office administration or clerical roles with a strong background in customer service and administrative support
- Familiarity with multi\-line phone systems, front desk operations, and office management software such as Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
- Previous experience using QuickBooks or similar bookkeeping software is preferred
- Bilingual abilities are highly valued to effectively communicate with diverse clients and team members
- Demonstrated organizational skills with the ability to multitask efficiently while maintaining attention to detail
- Strong computer literacy including data entry, proofreading, filing systems, calendar management, and general office technology
- Experience in medical or dental reception is a plus; personal assistant or medical receptionist experience can be advantageous
