Job Title: Patient Care Coordinator

Status: Full\-Time \- Hourly
Position Summary:
At Legacy Orthopedic Physical Therapy, we are committed to providing exceptional care and service to our patients throughout their healing journey. As a Patient Care Coordinator, you play a vital role in delivering a seamless and positive experience—from the first phone call to the final visit. This role is responsible for scheduling patient appointments, coordinating insurance benefits, assisting patients with their exercise routines, maintaining a clean clinic and ensuring accurate collection of patient payments, all while fostering a welcoming and supportive environment.
Key Responsibilities:
Exercise Assistance
- Assist patients with their exercises under the direction of the Physical Therapists
- Maintain patient engagement during their sessions
- Float between each physical therapist to assist wherever needed
- Equipment set up and clean up
- This is frequent/constant walking and standing
- Manage and optimize the daily schedule to ensure full clinician schedules and minimal gaps. Schedule the patients full plan of care at time of initial evaluation.
- Coordinate new patient intake, verify referrals/prescriptions, and explain the care process.
- Maintain timely communication with patients via phone, email, and in\-person interactions.
- Follow up on patient no\-shows and reschedules to maintain continuity of care.
- Verify patient insurance coverage, benefits, deductibles, and copays prior to treatment.
- Obtain necessary authorizations or referrals as required by payers.
- Maintain accurate records of insurance details in the EMR/billing system.
- Communicate financial responsibilities clearly to patients before care begins.
- Oversee any Virtual Assistant(VA) staff that are involved in administrative functions especially in regards to insurance verification/authorization related matters.
- Reconcile end\-of\-day transactions and maintain accurate financial records.
- Maintain a clean and organized front desk and waiting area.
- Maintain a clean and organized clinic space and bathroom area.
- Collaborate with billing staff or third\-party billing service as needed.
- Review and approve/write off Statement balances
- Review and take action on Issues and Unbilled listed weekly
- Review and make contact with Lawyer Liens 1x per month
