We are seeking a highly organized, proactive, and detail\-oriented Executive Assistant to support the day\-to\-day operations of our executive and senior management team in a fast\-paced real estate environment.
Position Overview
The Executive Assistant plays a critical role in supporting company leadership and ensuring the efficient operation of the office and executive team. This individual will serve as a trusted administrative partner to executives and senior staff members by managing communications, coordinating schedules, maintaining organization systems, and assisting with daily operational needs.
The ideal candidate is professional, resourceful, highly organized, and capable of managing multiple priorities with discretion and sound judgment. This position requires strong communication skills, attention to detail, a positive attitude, and the ability to operate effectively in a collaborative, fast\-moving environment.
Key ResponsibilitiesExecutive \& Administrative Support
- Provide day\-to\-day administrative support to executives and senior staff members
- Manage incoming calls, emails, and correspondence with professionalism and discretion
- Screen and prioritize executive communications appropriately
- Coordinate and schedule meetings, appointments, conference calls, and travel arrangements
- Prepare meeting agendas, materials, and follow\-up items
- Record and distribute meeting notes and action items as needed
- Draft, edit, and prepare correspondence, reports, presentations, and other business communications
- Conduct research and gather information for management as requested
- Welcome and assist guests, visitors, vendors, and deliveries
- Maintain office organization, supplies, pantry inventory, and office equipment
- Coordinate with vendors and service providers for office\-related needs
- Maintain digital and physical filing systems in an organized and consistent manner
- Ensure company documents are properly named, saved, and stored within company systems and Google Drive folders
- Assist with tenant and client communications in accordance with company protocols
- Support cross\-department collaboration and communication among office and field personnel
- Maintain calendars for executives and assist with staff scheduling coordination
- Track tasks, deadlines, and follow\-ups to ensure timely completion of projects and assignments
- Update and maintain company website and administrative systems as needed
- Maintain familiarity with company policies, procedures, and operational standards
- Perform additional administrative and operational duties as assigned
- Bachelor’s Degree
- Minimum of 1 years of experience as an Executive Assistant, Administrative Assistant, Office Manager, or similar role supporting multiple senior executives in a fast\-paced environment
- Exceptional organizational skills and attention to detail
- Strong written and verbal communication skills
- Ability to prioritize, multitask, and manage competing responsibilities effectively
- Professional demeanor with strong interpersonal skills and a team\-oriented attitude
- Ability to handle confidential information with discretion and maturity
- Self\-starter with strong problem\-solving abilities and a proactive mindset
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Proficiency in Adobe Acrobat and electronic signature platforms
- Strong working knowledge of Google Workspace, including:
- Gmail
- Google Drive
- Google Calendar
- Google Keep
- Familiarity with Zoom and virtual meeting platforms
