Job Summary
We are seeking a dedicated and organized Administrative Assistant to support our daily operations at TBC Tribeca Beverage Company. The successful candidate will handle a variety of administrative tasks, manage front desk responsibilities, and ensure smooth office functioning. This role offers an excellent opportunity for individuals with strong organizational skills and office management experience to contribute to our company's efficiency and customer service excellence.
Responsibilities
- Greet visitors and manage the front desk with professionalism and courtesy
- Operate multi\-line phone systems, handle inquiries, and direct calls appropriately
- Maintain organized filing systems, both physical and digital, including data entry and record keeping
- Manage calendar appointments, schedule deliveries, and coordinate meetings
- Assist with bookkeeping tasks using QuickBooks or similar software
- Support customer service efforts by addressing client questions and providing support via phone or email
- Prepare correspondence, proofread documents, and ensure accuracy in all communications
- Handle general office duties such as photocopying, faxing, and ordering supplies
- Maintain office management procedures to enhance workflow efficiency
- Support personal assistant tasks as needed, including scheduling and administrative support
- Strong organizational skills with excellent time management abilities
- Experience in office management, clerical work, or administrative roles
- Bilingual abilities are a plus for serving diverse customer bases
- Knowledge of multi\-line phone systems, phone etiquette, and customer support best practices
- Ability to perform proofreading with attention to detail
- Familiarity with medical or dental receptionist duties is advantageous but not required
- Personal assistant experience or medical receptionist background is beneficial
- Capable of handling filing, calendar management, and bookkeeping tasks efficiently
- Demonstrated computer literacy with strong typing skills and organizational aptitude
