Duties
- Greet visitors, clients, and staff with enthusiasm and professionalism, ensuring a warm and welcoming atmosphere
- Manage multi\-line phone systems, directing calls accurately and courteously using proper phone etiquette
- Handle appointment scheduling, calendar management, and coordinate meetings using office management tools such as Microsoft Office and Google Workspace
- Perform data entry, filing, and document proofreading to maintain accurate records and support administrative functions
- Support office operations by managing incoming and outgoing correspondence, maintaining supplies, and assisting with clerical tasks such as photocopying and scanning
- Provide customer support by addressing inquiries promptly and professionally in person or via phone or email
- Assist with bookkeeping tasks using QuickBooks or similar software to support basic financial recordkeeping
- Proven experience in office management, clerical work, or as a receptionist within a professional setting
- Strong computer literacy including proficiency with Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
- Excellent organizational skills with the ability to multitask efficiently in a fast\-paced environment
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Previous experience with front desk duties, medical or dental receptionist roles, or personal assistant responsibilities is preferred
- Knowledge of multi\-line phone systems, calendar management tools, and basic bookkeeping software such as QuickBooks is advantageous
- Exceptional customer service skills with a friendly demeanor and professional phone etiquette
- Ability to handle confidential information discreetly while maintaining accuracy in documentation and proofreading tasks
