Job Overview
True North Painting is seeking a highly organized, tech\-savvy, and sales\-oriented Administrative Assistant to support our growing residential painting company.
This is not a traditional admin role focused only on paperwork. The most important part of this position is communicating with homeowners, pre\-qualifying leads, and setting high\-quality estimate appointments that convert into projects.
The ideal candidate is comfortable working in a modern digital environment, using tools such as AI assistants (ChatGPT), Google Workspace, CRM systems, Zoom meetings, and cloud\-based workflows.
You must be confident speaking with clients, guiding conversations professionally, and helping move potential customers toward scheduling consultations.

Key Responsibilities
Inbound Call Management: Answer and manage incoming calls, providing professional and courteous customer service.
Lead Pre\-Qualification \& Appointment Setting: Speak with homeowners, pre\-qualify leads, and schedule high\-quality estimate appointments for the sales team.
Production Scheduling: Coordinate and maintain project schedules to ensure timely execution of tasks.
Payroll Organization: Assist in processing payroll, ensuring accuracy and meeting deadlines.
Recruitment Assistance: Support hiring efforts by screening calls, setting up hiring ads, and organizing interviews.
Email and Communication Management: Manage inbox communications, respond to inquiries, and relay critical information to the team.
Client Communication: Act as a liaison between clients and project managers, ensuring clear and effective communication.
Outbound Calls: Follow up with potential clients and maintain consistent communication to support new business.
Expense Tracking: Monitor and document project expenses to support financial management.
CRM Management: Organize and update the customer relationship management (CRM) system to keep client information accurate and accessible.
General Office/Administrative Tasks: Handle various administrative duties as needed to support daily operations.
Qualifications
Location Requirement: Must be physically located in the United States and authorized to work in the U.S.
Technology \& Modern Workflows: Comfortable using tools such as Google Workspace, CRM software, Zoom, and AI tools like ChatGPT.
Camera Requirement: A working webcam is mandatory for Zoom meetings and team collaboration.
Experience: At least 1 year in an administrative, customer service, appointment\-setting, or coordinator role (home services or construction experience preferred).
Sales Mindset: Comfortable speaking with clients, guiding conversations, and properly pre\-qualifying appointments.
Customer Service: Strong ability to manage client interactions with professionalism and confidence.
Adaptability: Quick to adjust priorities in a fast\-paced environment.
Coachability: Eager to learn new systems and grow with the company.
Reliability: Highly dependable with strong follow\-through.
Organization: Meticulous and detail\-oriented.
Communication: Excellent verbal and written communication skills.
Remote Work Requirements: Must have a quiet, uninterrupted workspace suitable for professional calls, reliable internet, and equipment capable of running Zoom and cloud\-based applications.
